Problem × WooCommerce
WooCommerce orders not showing in the dashboard
orders exist in the database, the dashboard just cannot see them
Why it happens
Orders are almost never lost. The store recorded them; the dashboard is being prevented from reading them. The four causes we see, in order of frequency:
Status filters and views. The orders list defaults to “All” but remembered views, a plugin-added status (quote, awaiting-call) or a bulk action that parked orders in a non-standard status makes them invisible without being gone.
HPOS mismatches. Stores on the newer High-Performance Order Storage keep orders in dedicated tables. When a plugin or a half-finished HPOS migration writes to the posts table while the admin reads the orders tables (or the reverse), orders land where the screen is not looking.
Cache layers in the admin. Aggressive object caches or admin-page caches serve a stale orders list. The order confirmation email arrived, the customer paid, the list shows yesterday.
Analytics vs orders divergence. WooCommerce Analytics builds from its own lookup tables; when a rebuild did not run after an import or migration, reports and the orders list disagree.
Triage before you call anyone
Switch the orders screen to each status filter and search by the customer’s email. If the order appears, it is a status/filter problem, two minutes to fix. Check WooCommerce > Status > Data storage: note whether HPOS is enabled and whether anything is flagged as incompatible. Run WooCommerce > Status > Tools > Recalculate Analytics (or Clear analytics cache) and recheck reports. If the order exists in neither the list nor analytics but the payment went through, check the payment gateway’s own log, the webhook that confirms the order may be failing.
When to bring us in
If orders are genuinely missing after payment (webhook failures, gateway silence) or HPOS is showing sync errors, stop clicking and get help: order data is revenue records, and experiments in the admin of a live store make it worse. We fix HPOS mismatches, webhook failures and cache conflicts as WordPress emergency work - scoped, fixed price, usually same day. For stores with recurring admin weirdness, a care plan ends the whack-a-mole.
